How Do I Manage Download Permissions in Pass?

Pass allows you to customize download permissions for each gallery and for different types of users who visit the gallery.

One of the key benefits of identifying different user types in a gallery (e.g., main client, invited photographer, or guest) is that you can assign unique download permissions to each group. This guide will show you how to set up various permissions for different users.

Understanding Download Permissions and Download Pins

With Pass, there is no need for a download pin to access photos. Instead, photographers control download privileges based on user type. This approach offers better control over who can download images from the gallery, as a shared pin might fall into unintended hands. By providing a user-friendly control panel, photographers can easily manage who can download images, ensuring security and convenience.

Adjusting Download Permissions

  1. Start by going to the Main Dashboard>Galleries(select one)>Settings (remember to scroll down to see all the settings). You can enable free High-Resolution or Web-Size downloads and adjust more settings by clicking Settings below.

  2. Choose the size you want to make available (High-Res or Web-Size) specify which user types will have download permissions and click Apply.

Note: GIFs will always be downloaded at the original uploaded resolution and are not resized according to the photo download settings.

Customize Descriptions, Terms, and Print Release

  1. You can also customize the name and description of High-Res downloads by clicking the pencil icon.

  2. Enable the option to customize the product name and description.

  3. Enable the option to add Download Terms or use a custom release form (PDF), then click Apply.

  4. For free Web-Size downloads, click the pencil icon to add download terms or a custom release form.

  5. Enable the option to add these, and click Apply.

Limit Downloads to a Specific Number

  1. To restrict downloads to a set number of high-resolution images, select Specific Amount from the dropdown menu.

Please Note: Download limits are shared between users of the same type. For example, if two Main Clients are allowed 10 downloads, one client could download 8 images, and the second client could only download those same 8 plus 2 more. If one client downloads all 10, the second would only be able to download the same 10 images. Additionally, if you replace one of the clients, the new Main Client can still only download those 10 specific images.

Please Note: If the images are deleted and later re-uploaded, the download count will reset, and clients can download the images again.

2.   Users without free download privileges can purchase images if you’ve enabled Store Pricing. You can sell both high-resolution and custom-resolution downloads.

Set the Size for Downloaded Photos

  • Free and Paid High-Res: Choose the original size or set custom dimensions using width and height.

  • Free Web-Size: Select the pixel size for the long edge of the photo.

Note: GIFs will always download at the original resolution and cannot be resized.

Limit Downloads to Specific Scenes

You can also limit downloads to specific collectionswithin a gallery. Click Apply when done.

Send a Link with Download Permissions

If you need to share a link that allows specific users to download images, you can set download permissions for Main Clients or Invited Photographers, then share a secure link via the Share tab. This is particularly useful when clients, like a wedding couple, want to share downloadable images with family and friends but restrict downloads for other gallery visitors.

  1. Set download permissions to allow Clients and Invited users to download High-Res or Web-Size images, then click Apply.

  2. In the Share tab, click Get Secure Link.

  3. Choose which collections to include, then click Get Link to generate the URL.

  4. Copy the link to share with others. Users accessing the gallery via this link can download the images.

  5. You can also send a .zip folder of selected images for any user to download.

Download Accessibility via Storage

After one year from the original upload date, photos are moved to long-term storage. These photos remain accessible to both you and your clients. When you or your client downloads the photos, you can opt to be notified when the files are packaged and ready, which typically takes 2-15 hours. You’ll receive an email notification once the download is available.
