How to Create and Use Pass Gallery Seasonal Sales Campaigns.

What Are Pass Gallery Seasonal Sales Campaigns?

Pass Gallery Seasonal Sales Campaigns are ready-to-use, pre-built promotions created by the Pass team to help you increase sales with minimal setup.

Each campaign is designed around key seasonal moments (such as Mother’s Day, Valentine’s Day, Black Friday, etc.) and includes optimized settings based on top-performing data.

These campaigns come pre-configured with:

  • Discounts (amount or percentage, code, minimum order)
  • Campaign duration (aligned with delivery timelines)
  • Pre-written email templates (announcement + reminders)
  • Professionally designed banners
  • Pre-defined audience targeting 

You can use these campaigns as-is or customize them to match your brand and business needs.

Why Use Seasonal Sales Campaigns

Seasonal Sales Campaigns are ideal for:

  • Capitalizing on key seasonal moments (Mother’s Day, Christmas, Valentine’s Day, etc.)
  • Boosting sales during slower periods
  • Re-engaging past clients
  • Increasing print and product orders ahead of important dates

Campaigns are typically launched 2–3 weeks before the event to give clients enough time to place orders and receive products on time.


How It Works

Once a campaign is created by the Pass team:

  • It becomes available in Sales Campaigns > Campaigns section
  • You’ll receive email announcements from Pass Gallery about the upcoming campaign and its details

You can choose to:

  • Enroll to join the Pass Gallery automation list. The campaign will be scheduled on the advertised start date using the pre-defined settings, or
  • Set up and schedule the campaign manually based on your needs, or
  • Request a custom setup by contacting Customer Support, and our team will schedule the campaign for you

📌 Please note:

Enrolling does not launch the campaign to your clients immediately, and it will not appear as active in your Sales Campaigns > Campaigns section right away.

The campaign will only become active on the scheduled start date shared in the announcement.


Ways to Participate (or Opt Out)

You can join a Seasonal Sales Campaign in several ways:

1.  Enroll (Scheduled for You)

  • Click “Schedule for me” from:
    • Campaign announcement emails
    • Main Dashboard pop-up when you log into your account

This will schedule the campaign on the advertised start date using Pass Gallery’s pre-configured settings.


2. Customize It Yourself

  • Manually install and edit the campaign (see steps below)

3. Request Custom Setup

  • Contact help@passgallery.com
  • A Customer Support representative will help tailor the campaign to your needs (discounts, messaging, audience, etc.)

Need to Opt Out?

If you enrolled by mistake or changed your mind, you can opt out at any time by contacting help@passgallery.com, and our team will assist you in removing or adjusting the campaign.

📌Please note: Make sure to email us at least 24 hrs before the campaign start date.


How to Set Up a Seasonal Sales Campaign

Step 1

From your Main Dashboard, go to Sales Campaigns

Step 2

In the Campaigns tab, click + More Campaigns

Step 3

Select the Seasonal Sales Campaign you want (e.g., Mother’s Day, Valentine’s Day)


Step 4

Click Install Campaign

Step 5

Customize the campaign name and click Add Automation


Configuring Your Campaign

You can fully customize the campaign based on your preferences:

Discount

The discount is pre-designed by the Pass team based on top-performing data to help maximize conversions. You can use it as-is or customize it to better fit your brand, pricing strategy, and audience.

Discount type

  • Percentage off
  • Fixed amount ($ off)
  • Free product
  • Cost price
  • Free shipping

Description
Shown to clients at checkout after applying the coupon.

📌 Please note: Do not edit text inside { } — it updates automatically.

Coupon Code
Customize the code (e.g., HEART2026, LOVE2026).


More Options

  • Apply to shipping: Includes shipping in the discount
  • Minimum order: Sets a required cart value
  • Allow stacking: Combine with other discounts
  • Limit to products: Apply only to selected items (e.g., albums, prints)


Campaign Duration

The duration (e.g.5 days) is set by Pass but you can modify it.

Click the pencil icon to:

  • Set duration in days or months
  • Adjust the end time (e.g., 11:59 PM) to maximize the final day


Emails


You can customize or remove the emails sent to your clients.

  • Click the pencil icon to edit an email
  • Click the trash icon to delete an email

Pro Tip: Don’t want to send emails? Delete all of them using the trash icon.

Content

Edit the email content, including the subject line, title, message, and call-to-action button. You can customize the text to match your brand voice while keeping dynamic fields (e.g., {discount-value}, {code}) unchanged so they populate automatically.

Style

Customize the visual appearance of your email, including colors, logo style, and button design. This allows you to align the email with your brand identity while keeping the structure intact.

Choose when campaign emails are sent:

  • Earliest Possible → Announcement email is sent immediately once assigned to galleries

  • Optimized Send Schedule → Announcement email is sent at recommended times (typically 8 AM, 2 PM, or 8 PM) based on your timezone


Banners

Display promotional banners within galleries during the campaign. You can edit the pre-designed banners or add and remove banners as needed.

Content

Edit the banner text, including the header, body message, coupon code, and button text. You can customize the messaging to match your campaign while keeping dynamic fields (e.g., {discount-value}) unchanged.

Style

Customize the banner design by uploading desktop and mobile images, selecting fonts, and adjusting colors.




Review and Save Your Campaign Settings

Once you have reviewed all four categories—Discount, Campaign Duration, Emails, and Banners—click Save to apply your settings.



On the next page, select one of the following options:

  • Assign to Galleries → proceed with assigning the campaign
  • I’ll do it later → exit and return at another time


You will be taken to a summary page where you can review all four categories again.

If you need to make changes, click Edit Campaign.



If everything looks correct, click Assign to Galleries to proceed.





Assign and Activate Your Campaign

Select Galleries


Click the pencil icon to select the galleries.



You can search for galleries using a variety of filters, including occasion, language, price list, online status, whether the automation is assigned or not, and the gallery creation date.

For example, you might choose to run a campaign only for Wedding galleries or target galleries created within the last two years.

You can Select all, Unselect all or search for specific gallery names.


Checkmark the galleries you would like to apply the Automation to and click Apply.




Select Recipients

After you have selected your galleries, you can also adjust other fields as well. 

Select the user type that will receive this promotion.


Select audience by criteria

When applying this to multiple galleries at once, you can target users based on their role, including Main Clients, Photographer Invited, Client Invited, and Guests.


Select specific users

When applied to a single gallery, this option allows you to select individual client email addresses. Once selected, click Continue to save your settings.

📌Please note: If a client has more than one gallery assigned with the same automation, and they add products from both galleries into a single cart and place one order, they will receive the discount for both galleries — including $ OFF discounts (meaning the discount is applied twice).

However, if the usage limit in the Automation settings is set to 1, and the client places an order with items from only one gallery, then later tries to place another order with items from the second gallery, the discount will no longer be valid (this does not apply to $ OFF discounts).

In that case, the client will see the message: “coupon is already used”.




Select Automation-Campaign Start

Decide when your sales campaign should begin. Click the pencil icon to edit this setting.

Start Immediately (Now)

⚠️ If the start time is set to Now, the campaign will begin as soon as you click Apply.

  • The campaign will activate immediately
  • The announcement email will be sent right away


Schedule a Start Date

Choose Start Date to schedule your campaign for a specific time.

  • Select the desired date and time
  • The campaign will automatically start at that time
  • The announcement email will be sent accordingly

Review your activation settings to ensure everything is configured as intended.
Once ready, click Apply to activate the automation

Congrats! You have successfully activated or scheduled your sales campaign.
