How Can I Maximize Security and Privacy for My Gallery?

Ensuring the privacy and security of your galleries is essential, especially for clients who may have specific concerns about their images, such as personal moments, cultural ceremonies, or sensitive content. This guide provides steps to help you and your clients keep their galleries secure and private.

1. Enable Private Galleries

Mark your gallery as Private in the Client Galleries section. This option ensures only invited individuals, whether invited by you or the Main Client, can access the gallery. You can send invitations via email or share a secure direct link. You may also choose to enable an access code for an additional layer of security.

If your gallery is listed on your Portfolio Page, only invited users or those with the access code will be able to view it.

2. Remove from Portfolio Page

To prevent the gallery from appearing publicly on your Portfolio Page, uncheck the Show on Portfolio option. This is especially recommended for more personal galleries, such as Newborn or Boudoir sessions, but other galleries like weddings or events may benefit from being publicly displayed.

3. Add a Gallery Expiration

Set an expiration date for your gallery to automatically take it offline after a specific period. Suggested timeframes:

  • Wedding galleries: 1–2 years
  • Family galleries: 6 months–1 year
  • Newborn/Boudoir: 1–3 months

You can even offer a final sale before the gallery expires by using a Gallery Expiration Automation.

Pro Tip: Running a store sale on an expired gallery will temporarily bring it back online during the sale period.

4. Request Email Before Viewing

Enable the option to require visitors to enter their name and email before they can view the gallery. This is ideal for tracking access and ensuring a more secure experience.

5. Disable Sharing

Uncheck the Allow Sharing option to restrict guests from sharing gallery links via social media or email. This is recommended for sensitive galleries like Boudoir or Newborn sessions but can be left enabled for more public events like weddings.

6. Enable the Sensitive Security Policy

For extra protection, apply the Sensitive Security Policy, ideal for galleries with highly personal content such as Boudoir or Newborn images. This policy enforces:

  • Private gallery status
  • Gallery expiration
  • Email-specific invites only (no access via direct links or access codes)

Note: This policy is not ideal for large groups as it limits gallery access to a few individuals.

7. Hide Specific Images

Both you and your Main Client can hide individual photos from the gallery. Hidden images are only visible to you and the Main Client, not to any other guests or users.

8. Hide Scenes by User Type

If your gallery contains multiple scenes, you can restrict access to certain scenes for specific user types. You can set these restrictions in the Photos, then click on the 3 dots above the photos and finally select Hide Collection.

9. Share Galleries Securely

When sharing galleries, use the options in the Share tab to send secure links. The links contain a cookie that grants the recipient access. When the recipient creates an account, their user type will be designated based on the link (e.g., Photographer Invited).
