How Can I Change the Payment Collection Method in My Store?

Two Options for Collecting Payments

Pass offers two options for collecting payments from your store sales:

By default, Pass is the selling entity and collects all payments from your store sales. With this option, Pass handles the appropriate sales taxes for orders and pays out any profits to you. More details are provided below.

Alternatively, you can choose to collect payments yourself through your own payment gateway. At the time of writing, Pass supports payment gateways such as PayPal, Stripe, Square, and Offline. When a customer places an order using this option, the payment is processed through your chosen gateway, and you will receive the full amount paid. Pass will then collect any production and shipping costs from you before processing the order. More details below.

Comparison

Here is a brief comparison between Pass as the selling entity versus the Photographer as the selling entity:

Please note: Both payment collection options allow for automatic lab fulfillment.

Payment Collected by Pass

When Pass collects the payments, it manages everything related to sales tax and payments. Pass collects and files the appropriate sales tax from each order, and the net profits (total paid minus production and shipping costs) are deposited into your PayPal account on the 1st and 15th of each month when the following criteria are met:

  • The total profit amount exceeds $20.
  • The sale was made at least 7 days before the deposit date.
  • Your PayPal email, address, phone number, Name on Invoice, and Tax Number are filled out in your account information.

As the selling entity, Pass’s name and logo will appear on the order confirmation and the client’s credit card statement. Pass can also assist with refunds if a product does not meet service standards.

At the end of the year, Pass will send you a tax summary with your store profits.

Payment Collected by the Photographer

When you opt to collect payments yourself, you are responsible for handling sales tax and payments, though Pass can still automate the production of print products.

When a client places an order, the full payment is deposited into your selected payment gateway (Stripe, PayPal, Square, or Offline). The production and shipping costs are charged to your payment method on file in the Plans & Billing tab.

As a photographer, you have the option to self-fulfill products (available for Professional and Advanced plans only) or continue using labs integrated with the Pass system. When you collect payments yourself, there is no commission fee collected by Pass, except on Free and Beginner plans, where a 15% commission applies.

Some benefits of collecting payments yourself include:

  • Using a currency other than USD.
  • Self-fulfilling products in the store (excluding Free and Beginner plans).
  • Collecting payments directly.
  • Avoiding sales commission (excluding Free and Beginner plans).
  • Adjusting sales tax rates.
  • Quicker/immediate deposits.
  • Branding your order confirmation emails with your logo.
