How to Create and Use the Existing Gallery Backup App?

The Existing Gallery Backup App allows you to offer clients a paid annual subscription to keep their gallery online and backed up in the cloud.

This ensures your clients can access their photos and store any time while also creating an additional revenue stream for your business.

Note: Pass collects a commission for Gallery Backup subscriptions:

  • Paid plans: $1 + 10% per subscription.
  • Free plans: $3 + 20% per subscription.

Adding the Existing Gallery Backup App

1. Click Sales Campaigns from the Main Dashboard.


2. Select the Automations tab, then click + More Automations.


3. Choose Existing Gallery Backup, then click Install Campaign.

4. (Optional) Rename the app, then click Add Automation Campaign.

Setting Up Gallery Expiration

Modify the Gallery Expiration setting.

  • The expiration period starts once the app is assigned to a gallery.
  • You can update the expiration date for each gallery before assigning the app.
  • This will override any expiration dates previously set in the Gallery Setup tab.

Setting Up the Gallery Backup Product

Modify the Gallery Backup Product settings.

  • Pass collects $1 + 10% (paid plans) or $3 + 20% (free plans) per subscription.

πŸ“Œ PayPal Required: You must have a PayPal account to receive subscription payments. Add your PayPal email under Settings > Store Settings.

The app provides a pre-made template with a name, price, product description, and store tile.

  • You can edit these details to match your brand.
  • Click Apply to save changes.

Setting the Campaign Timeline

Adjust the Campaign Timeline (when the promotion starts).

  • This campaign will notify the Main Client about the backup subscription and their gallery expiration.
  • Example: If set to 14 days, the campaign starts 14 days before expiration.

Adding a Discount (Optional)

You can offer a discount to encourage last-minute purchases.

πŸ“Œ Note: The discount applies to all products in your store except for the Gallery Backup Product (due to a PayPal limitation).

Customize your discount and Click Apply to save.

    Customizing Client Emails

    Adjust the email trigger if you want to delay the initial announcement and reminder emails.

    • The campaign will still start as scheduled, but emails will be sent later.

    Edit or delete any email templates.


    Customize the email design, images, content, and style.

    Click Apply when you're done.

    Customizing Expiration Promo Banners

    You can use banners to highlight the backup subscription inside the gallery.
    There are 5 banner types:

    βœ” Text Banner – Displays a pinned message at the top of the gallery.


    βœ” Large Banner – A large promotional banner inside the gallery stream.


    βœ” Photo Banner – A banner within the gallery stream featuring a countdown timer.

    βœ” Product Row – Displays three featured products at the bottom of the gallery.


    βœ” Store Rotator – A rotating banner above the store section of the gallery.

    Setting Up Gallery Backup Renewal Emails

    Set up a Payment Reminder Email, which will be sent two days before renewal.


    Customize the Gallery Backup Renewal Failure Email.

    • This email is sent if the client's payment fails at renewal time.

    (Optional) Add internal notes for yourself.


    Click Save to save the app.

    Assigning the App to Galleries

    Open the Existing Gallery Backup from the Automations tab.


    Click Assign to Galleries.


    Select the galleries and set the expiration date (if different from the default).


    Click Applyβ€”the app is now active, and emails will be sent automatically.

    Assigning to a Single Gallery
    Open the gallery and select the Sales Campaigns tab.


    Click + More Automations and select the Existing Gallery Backup App.

    Set the expiration date, then click Apply.

    Managing Subscription Cancellations

    If a client wants to cancel their Gallery Backup subscription, they can do so directly from their PayPal Subscriptions page.
