How Do I Share a Client Gallery?

Pass makes it easy to share galleries with clients, vendors, and guests. This guide explains how to share a gallery with different types of users.

Sharing a Gallery with Main Clients

The recommended way to share a gallery with clients is by assigning them as Main Clients. This grants them special privileges, including:

Additionally, you can create promotional campaigns and automations, like anniversary gifts or simple sales systems, tailored specifically for Main Clients.

Steps to Share a Gallery with a Main Client:

  1. Access the Share Tab:
    Navigate to the Share tab in the gallery menu.

  2. Enter Client Details:
    Add the client’s name and email, then choose either:

    • Send to Client: Sends an email directly via Pass, keeping all communication centralized.
    • Send by Myself: Generates a secure link to share outside of Pass.

    You can assign up to five individuals as Main Clients.

  3. Confirm Main Client Access:
    Clients must access the gallery through the secure link. This ensures they are recognized as Main Clients in the system.

Sharing a Gallery with Photographer Invited Users

Photographer Invited Users are individuals who need specific permissions to view the gallery, such as colleagues, extended family, or potential clients. These users:

  • Cannot hide photos in the gallery.
  • Cannot see photos hidden by the Main Client.
  • Can be included or excluded from promotional campaigns.
  • Only view scenes they’re authorized to access (for private galleries).
  • May receive free high-res or web-sized downloads.

Steps to Share a Gallery with Photographer Invited Users:

  1. Invite via Email or Secure Link:
    Use Invite via Email for bulk invitations or Get a Secure Link to share individually.

  2. Select Scene Access:
    Choose which scenes the user can view under Show Scenes before sending the invitation.


    Pro Tip: Using Invite via Email, you can send invitations to multiple users in one click.

  3. Optional Access Code:
    You can set an access code to enhance security. 

Sharing a Gallery with Guests

The Guest Link is ideal for sharing the gallery with family, friends, or prospective clients. Guests:

  • Cannot hide photos in the gallery.
  • Cannot see photos hidden by the Main Client.
  • Can be included or excluded from promotions.
  • Only view scenes they’re allowed to access.
  • May receive free downloads, similar to Main Clients or Photographer Invited Users.

Steps to Share a Gallery with Guests:

  1. Generate a Secure Link:
    Click Get Secure Link in the gallery.

  2. Set Access Preferences:
    For private galleries, choose which scenes the link grants access to.

  3. Copy and Share the Link:
    Share the generated link outside of Pass as needed.

Gallery Viewing and Sharing Settings

Private vs. Public Galleries

By default, galleries are set as public. To make a gallery private:

  • Within the gallery, go to the Settings tab tab.
  • Check the box next to Private Gallery.

Hidden Scenes

You can hide specific scenes for certain user types:

  1. Go to the Photos tab.
  2. Click the three dots under the desired scene and select Hide Collection.
  3. Choose which user types the scene should be hidden from and click Apply.

Enable Sharing

To allow users to share galleries via social media or email:

  1. Within the gallery, go to the Settings tab.
  2. Check the box to enable sharing.

Main Clients can also share galleries using the Guest Link.

Restrict Gallery Access Without Passwords

By default, anyone with a Guest Link can view and download images. To add security:

  • Go to Settings > Gallery Defaults > System Preferences and enable account requirements for downloads or sharing.

Alternatively, you can still collect visitor names and email addresses. Within the gallery, in the Settings tab.

Pro Tip: While galleries can remain open for public access, assigning user types and customizing permissions lets you optimize Pass’s features, enhance security, and boost sales.
